What is Inbox Zero?

Inbox Zero is a mail method from Merlin Mann, and the zero refers to the time your mail spends in your head rather than the number of messages on screen. The inbox is treated as a queue to be processed, not a place where things live.

The decisions

Open each message once and choose one of five outcomes:

• Delete or archive if it needs nothing.
• Reply now if it takes under two minutes.
• Delegate if it belongs to someone else, then track it.
• Defer to a task list with a real next action, not back into the inbox.
• Do it, if it is short and yours.

What you do not do is read something, decide nothing and leave it there. That is the behaviour the method exists to remove, because every unresolved message gets reread.

Batching

Process mail at fixed times rather than continuously. Two or three passes a day is enough for most roles. An inbox left open all day turns every message into an interruption, and switching back into real work afterwards costs more than the message did.

The common mistake

Chasing an empty screen for its own sake. Filing everything into folders at speed is not the same as deciding what to do about it, and an inbox that reaches zero by moving unresolved work somewhere invisible has simply hidden it.
